Collecting invoices

Contractors and vendors send you invoices through a link. They fill in a short form, upload their PDF and send it. Every invoice lands in one list, next to the ones you sent.

In Slack or Discord: type /du3 link for a general link anyone can use, or /du3 link Amara for a link just for one person.

On the web: go to Links and click New link.

When you make a link on the web you can choose:

  • Who it’s for — anyone with the link, or one contractor.
  • Fields — the questions contractors must answer. See Custom fields.
  • Expiry — the date the link stops working, if you want one.
  • Single use — the link stops working after one invoice.
  • Show on your site — list the link on your branded site so contractors can find it.

Copy the link and send it however you like: email, WhatsApp, Slack, Discord.

  1. Opens the link. They see your company name and logo.
  2. Fills in the form. Required fields must be filled before they can send, so nothing is missing.
  3. Uploads their invoice PDF, if you ask for one.
  4. Sends it. They can do this as a guest, or sign in to keep track of it. See For contractors.

Du3y posts a card in your alert channel with the contractor’s name, amount, due date and the answers to your fields. On the web, it shows in Invoices under Received.

There is no approval step for invoices you receive. An admin does one of two things:

  • Mark paid — once you have paid the contractor. The contractor gets an email saying it’s paid.
  • Reject — with a reason. The contractor gets an email with your reason, so they can fix it and send a new one.
Status Icon What it means
Received Half ring with an arrow coming in The contractor has sent it.
Overdue Ring with clock hands Past the due date and not paid yet.
Paid Full circle with a tick An admin has marked it paid.
Rejected Ring with a cross An admin turned it down, with a reason.
Withdrawn Grey ring with a dash The contractor took it back before it was paid.

Public links are rate-limited and every uploaded file is scanned before anyone can open it. Use an expiry date or single use for links you only need once.
